Refund & Cancellation Policy

1. Overview

NextTrackSystems provides digital services including software development, UI/UX design, AI integration, app testing, and technology consulting. This policy outlines how refunds and cancellations are handled for all services purchased through our platform.

2. Digital Products Are Non-Refundable Once Delivered

All our services result in digital deliverables (source code, design files, deployed applications, configuration setups, reports, etc.). Once a deliverable has been completed and delivered to the client, it is considered final and non-refundable.

By placing an order, you acknowledge that digital products cannot be "returned" in the traditional sense and agree to this non-refundable policy for delivered work.

3. Milestone-Based Refunds

For projects that are structured around milestones, the following refund terms apply:

  • Before a milestone begins: If you cancel before work on a milestone has started, you are entitled to a full refund for that milestone.
  • During a milestone: If you cancel while a milestone is in progress, you will be billed for the work completed up to the cancellation date. Any remaining balance will be refunded within 14 business days.
  • After a milestone is delivered: Completed and delivered milestones are non-refundable. Payment for approved milestones is final.

4. Pre-Project Cancellation

  • If you cancel before any work has begun, you are entitled to a full refund of any deposit or advance payment made.
  • Cancellation must be requested in writing via email to hello@nexttracksystems.com.

5. Non-Refundable Items

The following are non-refundable under all circumstances:

  • Completed and delivered digital products, including source code, design files, deployed applications, and reports.
  • Consulting hours and strategy sessions that have been conducted (e.g., AI MVP Discovery sessions).
  • Third-party costs incurred on your behalf (hosting, domains, API subscriptions, Play Store fees, etc.).
  • Work completed and approved at milestone checkpoints.

6. Dissatisfaction with Deliverables

  • If a deliverable does not meet the agreed-upon specifications in the Statement of Work (SOW) or order description, we will revise it at no extra cost within a 14-day revision window.
  • Up to 2 rounds of revisions are included. If the deliverable still does not meet SOW requirements after revisions, a partial refund may be discussed on a case-by-case basis.

7. Refund Process

  • Refund requests must be submitted in writing to hello@nexttracksystems.com with a clear explanation of the reason.
  • We will review the request and respond within 5 business days.
  • Approved refunds are processed within 14 business days to the original payment method.

8. Dispute Resolution

If a refund dispute arises, both parties agree to attempt resolution through good-faith negotiation before pursuing any formal proceedings.
